EUDR: Generate or Withdraw a Due Diligence Statement (DDS)

Learn how to finalize your compliance process by generating and submitting a Due Diligence Statement to Traces.

How to Generate a DDS

To begin, navigate to Compliance and choose EUDR. You will find the options for generation located within the Actions column. The Generate button appears under Actions only when the DDS Gate Status shows Allowed.

Identify Ready Products

To streamline your workflow, use the DDS Gate status filter to select Allowed. This will display all products that have cleared every compliance check and are ready for a DDS.

Understand "Blocked" Status

To generate a Due Diligence Statement (DDS), the DDS Gate Status must show Allowed. Only then does the Generate button appear under Actions, so that you can create a new DDS. If the status shows Blocked, you cannot generate a DDS until the underlying issue is resolved.

Why is my DDS blocked?

A DDS can be blocked for several reasons. The specific reason is displayed in the DDS Gate Reason column. Use the table below to find out what it means and what to do next.

DDS Gate Reason

What it means

What you need to do

Customer DDS submission ongoing

A DDS you created has been submitted to TRACES, but the reference number has not been returned yet.

Wait until TRACES returns the reference number. The gate will update automatically.

Pending calculation

The legality assessment score is still being calculated.

Wait until the calculation is complete. You cannot proceed until a score is available.

Assessment required or non-negligible

A legality or deforestation assessment is still required, or an assessment returned a non-negligible risk.

Complete the missing assessment. If the result is non-negligible, derisk it. Your DDS submission remains blocked until the risk is mitigated.

Waiting for origins

Your supplier has not yet submitted origin information. This is mandatory for the assessments required to generate a DDS. In some cases, no further assessments are needed.

Send out the product origin request to get the origin information.

Submitting DDS

Once you click Generate, you will see an overview of all Product Origin Requests (PORs) that were sent, along with the DDS state for each one.

A DDS can only be generated once your supplier has shared the relevant origin information with you. When this is the case, the DDS state shows Ready to generate.

The DDS state is now managed at product origin level. This means you can:

  • create a DDS for a single product origin request, or

  • select multiple product origin requests and create one DDS for all of them, provided each one has the state Ready to generate.

If you have previously created product groups, you can select the relevant one to automatically pre-fill the entity information.

💡If you’re unsure how to create or manage product groups, please refer to this article for detailed guidance.

Under Product & Origins, you must provide the product weight in kilograms in order to submit the DDS. In addition, if your product falls under specific HS codes that require a supplementary unit, this information must also be completed.

After clicking Submit DDS a confirmation window will pop up.

Viewing Submitted DDS

After a DDS has been submitted, select See all DDS in the Actions column to view all DDS that were submitted for this product. You will be taken directly to the DDS tab, where the relevant statements for this specific product are displayed.

💡 Do you want to get a comprehensive overview of all Due Diligence Statements you have submitted? You can do so by accessing the DDS Tab directly.

Withdraw a DDS

If you have already submitted a DDS to Traces but need to withdraw it for example, because the weight or another detail was entered incorrectly, open the submitted DDS and click Withdraw DDS. Withdrawal is only possible within 72 hours of submission, in line with EU Commission requirements; hovering over the Withdraw DDS button will show you how much time you have left. Once this window has passed, the DDS can no longer be withdrawn.

Once a DDS has been withdrawn, you can find it again from the DDS tab by filtering for DDS Status: Withdrawn. This will show all products whose DDS has been withdrawn.
