You are requested to add in Prewave all the legal entities that need to submit Due Diligence Statement (DDS) into TRACES.
Adding your legal entities in Prewave allows you to automatically populate the legal entities information during the Due Diligence Statement generation process, reducing manual effort.
How to create a Legal Entity
To create a new legal entity, open the “Product” tab. Then select the “Groups” tab and select the “Add Product Group” button.
Enter the required fields in the pop-up window:
Name (required): The legal name of the entity you are adding (required information)
Team Access (optional): Here you can choose the team to assign to this legal entity and therefore restrict access to.
⚠️ Important: If a user is not part of an assigned team, they will not be able to see the products assigned to a legal entity. If a user is not assigned to any team, they will see no products at all. Need to set up a team first? Read this article on how to create a Team in Prewave.
Reference (optional): Your own unique identifier.
This field can be left blank. it is primarily used for API integrations and data submissions.
Type (required): For legal entities always select “EUDR” from the dropdown menu.
The ”Default” type is used for Product groups. More more information about Product Groups, check this article.
Required Legal Entity Information (EUDR Type Only)
When you select the EUDR type, you must provide the following as registered in TRACES:
Entity Name: Official registered name of the legal entity.
Address Details: City, Postal Code, Street name, and House Number.
Country: Select from the dropdown menu.
EORI Number: Your Economic Operators Registration and Identification number.
Click "Save" once all information is entered.
How to manage a Legal Entity
To change the information linked to an existing Legal entity, open the “Product” tab. Then select the “Groups” tab and hover over the legal entity you want to change or delete.
How to assign Products to a Legal Entity
To assign Products to a Legal Entity, go to the "Groups" tab and open the "Unassigned" product section.
Select the Product(s) and click on "Add to group".
Select the Legal entity you want to add the product to and click on "Add":
How to autofill the Legal entity details in the DDS
To automatically add the legal entity details during the Due Diligence Statement generation, select from the dropdown menu in the DDS window and select the legal entities available. Once selected they will autofill in the DDS overview.
To save or submit, select the action button accordingly.
