To export products from the European Union (EU), it is a requirement to attach a Due Diligence Statement (DDS). This DDS ensures that the product complies with all necessary regulations. Once a product meets these requirements, it can be exported. This guide will walk you through the steps to create an outbound product and then match it with its inbound counterpart within the system.
1: Creating an Outbound Product
Creating an outbound product is the initial step to define a product intended for export from the EU, thereby initiating the DDS creation process.
Steps to Create an Outbound Product:
Click on the "Product" tab in the navigation bar.
Go to "Outbound".
Click "Add Outbound Product". A window will appear where you can insert the required information.
Insert the necessary product details in the "Add Outbound Product" window:
Name: Provide a name for your Outbound Product.
Scientific name: This is relevant for products that contain or have been made using wood - the scientifically accurate name needs to be entered
Product Reference: Insert your product reference number. This will enable you to search for the product later.
Commodity: This is mandatory information for DDS creation. It is important to accurately identify the commodities for your imported product.
HS Code: This is also mandatory information for DDS creation. Accurately identifying the HS codes for your imported product is crucial.
Quantity: This is mandatory information for DDS creation.
Unit: This is mandatory information for DDS creation.
Annual Revenue: This field is optional.
Click "Add" to create the Outbound Product.
Section 2: Matching Outbound Products with Inbound Products
To generate a DDS and proceed with your export, you will need to match inbound products with their outbound counterparts. This step is performed once your inbound products meet the necessary compliance standards.
Steps to Match Outbound Products with Inbound Products:
Click on the "Product" tab.
Go to "Outbound".
To select and match an inbound product, click the "+" symbol next to the relevant Outbound Product.
In the "Add Inbound Product" window, choose the relevant Inbound Product(s). You can search for the inbound product by typing its name, HS code, or reference number. Multiple products can be selected if applicable.
Click "Save" to finalise the match.
